What to look for when hiring an offshore VA

A polished CV predicts almost nothing about how an offshore VA performs in month three. The traits that do predict it — proactive communication, resourcefulness under ambiguity, real timezone overlap — rarely show up on paper at all.

After vetting hundreds of specialists for placements, here's what we test for and how you can test for it too.

1Communication and responsiveness

This is the trait that decides everything downstream, because every problem an offshore hire has becomes visible — or invisible — through their communication.

  • Verify writing clarity and spoken comprehension in a live interview, not just chat. Read their messages: could a stranger follow them?
  • Test proactive communication with a deliberately ambiguous task. Do they raise the ambiguity early, or go quiet and guess?
  • Look at how they structure a progress update. 'Done / in progress / blocked, and here's what I need' beats a paragraph of narrative every time.

2Tool fluency and resourcefulness

Specific tool experience matters less than how fast someone picks up a tool they've never seen — because your stack will change.

  • Baseline fluency in the standard stack: Slack, Google Workspace, Notion or ClickUp, and a spreadsheet skill check.
  • A troubleshooting test: give a broken workflow and watch whether they Google, experiment, and solve — or immediately escalate.
  • Ask what tool they last taught themselves and how long it took. The answer tells you their learning velocity.

3Timezone, setup, and working conditions

Overlap hours and infrastructure sound boring until a missed handoff or a dead connection costs you a client.

  • Require at least 3–4 hours of real overlap with your core working day, and confirm the specialist's actual intended schedule.
  • Verify the remote setup: backup internet, adequate hardware, and a quiet workspace for any call-facing role.
  • Check prior remote-work history specifically. Office experience doesn't transfer as cleanly as people assume.

4What sounds good but doesn't predict much

Some popular filters cost you great candidates while letting weak ones through.

  • Certifications-heavy CVs. A stack of Udemy certificates predicts course-taking, not execution.
  • Perfect accent requirements for non-voice roles. Written clarity is the skill that matters for async work.
  • Years-of-experience minimums. A sharp two-year specialist with great communication outperforms a passive ten-year one, consistently.
